However, applying for VAT refund across Europe poses several challenges. First, language can be a costly barrier while communicating with tax authorities, and the time-consuming and complicated nature of the refund process also means a high risk of mistakes.

For MOL Group Cards’ Partners we have professional solution! Our strategic partner (Nikosax) can reclaim VAT and Excise Duty in all EU countries and selected non-EU countries. VAT refund is available in 28, ED reclaim is possible in 7 countries.
We do not only provide VAT and EXCISE DUTY refund in those countries where MOL Group Gold Card can be used but we cover whole European Union. Additionally, not only purchases via MOL Group Gold Cards are covered by our service but every purchase in abroad of which your company has an invoice*.

      • VAT Supplier can make 4 quarterly applications, and 1 annual application.
      • Quarterly the minimum amount of a refund claim is 400€ / country.
      • The minimum fee/application, so If your service fee per claim is lower than this amount, your service fee will be rounded up.
      • If another VAT refund agent exists, then the customer must send a termination notice to his previous refund agent and send a copy of the termination confirmation to Nikosax
      • If the customer has chosen the fast refund, he has to reach the quarterly minimum for the specific country, in order to be pre-financed (400 EUR).
      There is also an annual minimum that must be reached, in order for Nikosax to make an application for the customer.
      • The invoices of the actual year can be claimed till the end of Q3 next year.
      • Third party invoices are only eligible for normal refund and will be extra charged with extra service fee.

Together we offer you the following types of reimbursment:


  • Genereal VAT refund, 4 quarterly and 1 annual application
  • Normal VAT refund is a clear, transparent process of all purchases executed in the EU and in some other countries besides, irrespectively if you paid by MOL Group Cards or any other means of payment.
  • If your company is using normal VAT refund, your MOL Group Cards invoices will be automatically forwarded to Nikosax.
  • After receiving the documentation, Nikosax starts the refund process, your company does not have anything else to do to reclaim the relevant amount. During the process the authorities check the validity of the invoices according to the legal background of the respective country, Nikosax arranges the communication with the authorities.
  • After the official approval by the tax authorities in the country where your VAT is reclaimed, you receive the refunded amount on your MOL Group Cards account, automatically decreased by the service fee of Nikosax. Thus, you do not need to do the administration of money transfer to Nikosax.
  • The reclaimed money appears on your account in your contractual currency, in which you regularly pay your MOL Group Cards invoices.
  • In case of normal VAT refund the whole process can take months, depending on the local specificities of the country, however there is no risk of any payback obligation (which can occur in case of fast VAT refund due to the lack of control in advance).

  • VAT refund before application is submitted.
  • Due date VAT refund gives your company quarterly VAT reclaim based on your MOL Group Cards invoices.
  • Your company's invoices are automatically forwarded to Nikosax. While Nikosax arranges the communication and the administration with all the authorities, the refunded amount of money will be transferred in 30 days after the closure of the respective quarter of the year.
  • The refunded VAT decreased by service fee will be settled in your next MOL Group Cards invoice automatically.
  • Before authorities' approval, the reclaimed money appears on your account in your contractual currency, in which you regularly pay your MOL Group Cards invoices.

  • Fastest process without paperwork and healthy cash-flow - that is the fast VAT refund service provided by MOL Group Cards and Nikosax.
  • When your company uses fast VAT refund, your MOL Group Cards invoices are automatically forwarded to Nikosax. After receiving the invoices, Nikosax transfers the refunded VAT to your MOL Group Cards account in 10 days.
  • The refunded VAT decreased by service fee will be settled in your next MOL Group Cards invoice automatically. The total lead time of the process is 10 days + days until the issuance of your next invoice.

Based on the local regulations, excise duty refund possibility is available currently in Belgium, France, Italy, Slovenia and Hungary. A given ratio of excise duty of the purchased gasoil can be refunded. Nikosax is capable to provide your company also this service, according to the country specific regulations.
Te basic requirements of excise duty refund are:

  • the seat of your company needs to be in an EU member country
  • the vehicle which was filled up by gasoil needs to be over 7,5 tons or should be a bus with M2 or M3 categories
  • purchase can be only done by a licence plate number type of fuel card or in a home-based tank.
    There might be additional requirements country by country, according to the local legislation. Your sales representative will support you to meet all the necessary regulations.
    If all these requirements are fulfilled, your company is entitled to refund excise duty in the relevant countries.
    If you do not have yet licence plate number type of MOL Group Cards, request it in Card Centre.

  • Nikosax arranges the whole refund process with the relevant authorities.
  • After refunding the excise duty, the amount will appear on your company's MOL Group Cards account, decreased by the service fee of Nikosax.
  • The reclaimed money appears on your account in your contractual currency, in which you regularly pay your MOL Group Cards invoices.
